    This Privacy Policy explains how Kachersoft Applied Solutions Co., Ltd. ("Kachersoft", "we", "us", or "our") collects, uses, discloses, and protects personal information when you use our websites, mobile and desktop apps, software products, AI-powered features, support channels, and professional services (together, the "Services").

    If a product or contract includes a separate privacy notice or data processing agreement, that document controls for the specific product, customer, or engagement.

    1. Services Covered

    This policy covers Kachersoft websites, contact forms, newsletters, consulting and custom software services, Strata, kChannel, and future Kachersoft products or services that link to this policy.

    Some Services are used by individual users. Other Services are provided to business customers. When we process information on behalf of a business customer, that customer may be the data controller and Kachersoft may act as a service provider or processor under the relevant contract.

    2. Information We Collect

    The information we collect depends on how you use the Services. It may include:

    • Account information: name, email address, authentication identifiers, profile settings, workspace or organization membership, and account status.
    • Contact and support information: messages you send us, issue details, product feedback, attachments you choose to provide, and communication metadata.
    • Billing and subscription information: plan status, renewal or cancellation status, invoice details, transaction identifiers, billing contact details, and payment processor references. We do not store full payment card numbers.
    • User content: tasks, notes, prompts, selected text, files, conversations, documents, configuration data, and other content you add to a product or send through a Service.
    • AI feature inputs and outputs: prompts, selected text, files, instructions, model configuration, responses, and related metadata when you use an AI-powered feature.
    • Technical information: device type, operating system, app version, browser type, IP address, logs, cookie identifiers, and diagnostics needed to operate, secure, or troubleshoot the Services.

    3. Strata And App Data

    Strata supports user accounts. Depending on the version and configuration, Strata may store task data, notes, settings, AI configuration, subscription status, and support history.

    Strata is designed with a local-first approach where practical. Data may remain on your device unless you sign in, enable sync, use cloud-backed features, contact support, or choose to use AI features that send selected content to an AI provider.

    Strata does not currently use third-party analytics SDKs or third-party crash-reporting SDKs. If you contact support, we may ask you to share diagnostic details manually so we can investigate your issue.

    4. AI Features And Third-Party Providers

    Some Kachersoft products include AI-powered features. When you choose to use those features, the content needed for the request may be sent to Kachersoft systems, the AI provider configured for the product, or an OpenAI-compatible endpoint that you choose.

    For bring-your-own-key or custom-provider workflows, your selected provider's terms and privacy policy also apply. You should not send sensitive, confidential, or regulated information to an AI provider unless you are authorized to do so and understand that provider's data practices.

    Kachersoft does not use customer content to train cross-customer AI models unless we have explicit permission or a written agreement that says otherwise. Product-specific AI customization may use your business content only to provide features for your account, workspace, or engagement.

    5. How We Use Information

    We use personal information to:

    • provide, operate, secure, and improve the Services;
    • create and manage accounts, workspaces, subscriptions, and customer relationships;
    • respond to support requests, bug reports, feedback, and product questions;
    • process billing, invoices, renewals, cancellations, and fraud prevention checks;
    • provide AI-powered features that you request;
    • send service messages, security notices, and product updates;
    • comply with legal obligations and enforce applicable terms; and
    • protect Kachersoft, our customers, users, and the public from misuse, fraud, or security threats.

    6. Cookies And Website Tracking

    Our websites may use cookies and similar technologies to operate the site, remember preferences, understand website traffic, and improve the Services. Shopify and other service providers may also place cookies when they help operate our website or storefront.

    You can control cookies through your browser settings. Blocking cookies may affect website functionality.

    7. How We Share Information

    We may share information with:

    • Service providers and subprocessors that host, secure, support, bill, email, or help operate the Services;
    • AI providers when you use AI features or configure a provider endpoint;
    • Payment processors for subscriptions, invoices, fraud checks, tax, and payment operations;
    • Business customers when your account is part of their workspace or engagement;
    • Legal, safety, or compliance recipients when required by law or needed to protect rights, safety, and security; and
    • Successors in connection with a merger, acquisition, financing, restructuring, or sale of assets.

    We do not sell personal information. We do not use Strata app data for third-party advertising or cross-app tracking.

    8. Payments And Subscriptions

    Some Services may be free, paid, subscription-based, or provided under a custom contract. Billing may be handled by Kachersoft, Apple, Shopify, Stripe, Paddle, another payment processor, or a customer's procurement system depending on where and how the Service is purchased.

    Payment processors collect and process payment details under their own terms and privacy policies. Kachersoft receives limited billing records such as plan, status, invoice, transaction, and customer reference information.

    9. Data Retention

    We keep personal information for as long as needed to provide the Services, maintain accounts, resolve support issues, comply with legal obligations, enforce agreements, prevent abuse, and keep business records.

    Retention periods vary by data type. For example, support messages may be retained to troubleshoot recurring issues, billing records may be retained for tax and accounting obligations, and user content may be deleted or anonymized after account deletion unless a legal or contractual obligation requires retention.

    10. Account Deletion And Data Requests

    If a Kachersoft product supports account creation, you may request deletion of your account and associated personal information. For App Store apps that create accounts, including Strata, account deletion can be initiated from inside the app where required by Apple, and you may also contact us for help.

    You may request access, correction, export, deletion, or restriction of personal information by contacting us at hello@kachersoft.com. We may need to verify your identity before acting on a request.

    Deleting an account may permanently remove content, settings, subscriptions access, and workspace membership. Some records may be retained where required for legal, security, billing, or dispute-resolution purposes.

    11. Security

    We use administrative, technical, and organizational safeguards designed to protect personal information. No system is perfectly secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials, devices, API keys, and provider credentials secure.

    Do not send passwords, API keys, payment card numbers, or highly sensitive information through ordinary support messages unless we explicitly provide a secure channel for that purpose.

    12. International Processing

    Kachersoft is based in Vietnam. We and our service providers may process information in Vietnam, Singapore, the United States, the European Economic Area, or other countries where our providers operate. Where required, we use appropriate safeguards for international transfers.

    13. Children

    The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can take appropriate action.

    14. Your Rights And Choices

    Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information. You may also have the right to withdraw consent where processing is based on consent.

    You can opt out of marketing emails by using the unsubscribe link in the email or contacting us. We may still send non-marketing messages related to your account, security, billing, or active Services.

    15. Changes To This Policy

    We may update this policy from time to time. When we make material changes, we will update the "Last updated" date and take additional steps where required by law.
